What Affects Your Price
Understanding what drives managed IT pricing helps you get an accurate quote and avoid sticker shock.
User Count
Per-user pricing scales linearly. More users = more cost, but discounts often apply above 25 users.
Infrastructure Complexity
On-premise servers, custom applications, and multi-site networks require more management time than cloud-only environments.
Compliance Requirements
HIPAA, PCI, IRS Safeguards, and other regulatory frameworks require documentation and controls beyond standard managed IT.
Existing Security Posture
Environments with poor security hygiene may require initial hardening work, scoped as a one-time project before monthly billing starts.
Software Stack
Industry-specific software (medical, legal, accounting, manufacturing) requires specialized support knowledge that affects pricing.
Response Time SLA
After-hours and emergency response guarantees carry a premium. Standard business-hours SLAs cost less than 1-hour response windows.
Pricing FAQs
Why do you show ranges instead of exact prices?
Every business is different. A 15-person law firm with compliance requirements costs more to support than a 15-person retail shop. The ranges above reflect real-world pricing — your exact quote depends on user count, existing infrastructure, software stack, and compliance needs. We provide a written quote after a free discovery call, with no surprises.
Is there a minimum commitment?
We prefer month-to-month agreements because we'd rather earn your business every month than lock you in. Some clients with complex environments choose 12-month agreements for discounted rates. We'll discuss what makes sense for your situation.
What's not included in these prices?
Hardware (computers, servers, networking equipment), software licenses beyond Microsoft 365, and major project work (server migrations, new system deployments) are typically billed separately. We'll scope these clearly upfront so you're never surprised by a line item.
How does per-user pricing work for part-time staff?
Part-time employees who need regular IT support count as users. Contractors who access your systems intermittently may be handled differently — we'll cover this in your quote. The goal is accurate pricing for your actual support burden, not a number inflated by people who don't need regular help desk access.
Do you offer nonprofit or small business discounts?
Nonprofits and very small businesses (under 10 users) may qualify for adjusted rates. We also help eligible nonprofits access Microsoft 365 nonprofit licensing, which can significantly reduce software costs. Ask about this during your discovery call.
What if we already have some IT coverage?
Co-managed IT is common. If you have an internal IT person or existing tools, we work around them — filling gaps rather than replacing what's working. Many clients use us for after-hours coverage, security specialization, or backup/recovery that their internal person doesn't have bandwidth for.
